The report that keeps the committee honest

A treasurer report has one job: tell the committee whether the club can afford its decisions. This template is two documents in one file: the monthly one-pager that takes ten minutes to fill, and the annual AGM report members can follow without an accounting background.

What is in the document

  • The monthly one-pager: cash held, money owed in, money owed out, versus budget
  • A subs tracker line: collected, outstanding, and lapsed against expectation
  • The annual report: income and spend by category, against last year
  • A reserves line with the committee's agreed floor
  • Sign-off blocks for the treasurer and, where required, the independent examiner

Making it yours

Keep categories few and stable

Six to ten income and spend categories, unchanged year to year, make every report comparable. Rename ruthlessly once, then stop fiddling.

Report the awkward number first

Unpaid subs and any dip below the reserves floor go at the top, not in a footnote. Committees can only fix what they are shown.

Match your constitution's requirements

Some constitutions specify examination arrangements and what the AGM pack must contain. Check yours before the year-end version goes out.

Questions

What should a club treasurer report include?

Monthly: cash held, money owed to and by the club, and position against budget, plus a subs collection line. Annually: income and expenditure by category against last year, closing balances, and reserves against the agreed floor.

How often should the treasurer report?

A short written report at every committee meeting, typically monthly, and the full annual report at the AGM. Regularity matters more than length; one page consistently beats ten pages annually.
