Cut what you do not need

No motions this year? Delete the section rather than reading it out. A 40-minute AGM that covers everything beats a two-hour one that covers the same.

Attach the reports

Circulate the treasurer's accounts and officer reports with the agenda, not at the meeting. Members who read in advance ask better questions in less time.

What goes on an AGM agenda?

The standard order: welcome and apologies, minutes of the last AGM, matters arising, officer reports including the treasurer's accounts, elections, motions submitted with proper notice, and any other business. Your constitution may add items such as appointing an examiner.

How much notice does an AGM need?

Whatever your constitution says, commonly 14 to 28 days in writing to all members. The notice usually has to include the agenda and any motions, which is why this template pairs with a pre-meeting checklist.
