A club booking system stops two people turning up for the same thing. That sounds simple. Then the thing is a boat that needs nine people. Or an aircraft that needs signing off. Or a session that cannot legally run without a qualified coach.

A club booking record shows who has reserved an item and when. It needs a start time and an end time. A member name beside a date is not enough to spot a clash.

Two crews ask for the same boat
This made-up example uses boat B04. One crew has booked it from 09:00 to 10:30. Another asks for 10:00 to 11:00. Both requests cannot be confirmed as written.

There is a 30-minute overlap in the first two requests. Moving the second request does not prove the outing can go ahead. The club still needs to check crew clearance, conditions and the boat itself.
Set up a record people can trust
- Give each boat or shared item a fixed ID.
- Record the date, full time slot and booking contact.
- Mark a request as pending until it has been checked.
- Check clashes and any club session that needs the item.
- Record a cancellation so the next person knows the slot is free.
When a booking sheet works
A short booking list is easy to share if one person keeps it current. Use separate columns for requested and confirmed slots. The Word log below is a manual record. It does not reserve an item, spot clashes or stop someone taking a boat. Keep a way to check the live position if the club has no internet.

What is a club booking system?
A club booking system lets members reserve shared club equipment, facilities or sessions. It stops two people booking the same thing at once. For sports clubs it also has to enforce the rules that decide who is allowed to book what.
Can it stop members booking something they are not qualified for?
Yes. The ticket sits on the item or the session. A member without it cannot finish the booking, rather than being corrected later.
What happens when equipment is damaged?
It is marked out of action and stops appearing as available. Nobody books a boat or aircraft that is waiting for repair.
