What is a club trip log?
A club trip log records who went out, what they took and when they came back. A booking list records who planned to attend. Keep the two apart: plans can change before the group leaves.
Use the log alongside your club trip plan. The plan sets out the activity and how it will be run. This form is only the attendance, kit and return record. It does not assess the route, weather or skills of the group.
Our download has a blank trip sheet, a blank people-and-kit table and a made-up return example. Edit the Word file to suit your activity. The PDF is for printing. Neither file sends alerts or shares changes on its own.
Before the group leaves
Give the trip a short ID that will also appear on its other records. Name the person who will keep the log current. Agree how they will receive updates if phone coverage is poor.
- Add the activity, date, leader and contact for updates.
- Record where to find the agreed trip and emergency plans.
- List the people who are actually going, not just those who booked.
- Match each person to the craft or kit they take.
- Record the planned return and the actual departure.
- Give the people who need it access to the latest copy.
Keep the fields short and useful
An ID is only useful if the responsible people can match it to the right person. Keep that lookup available to them. Keep private contacts in your approved club system, not on a public noticeboard.

Record each return before closing the trip
In our example, three people left with three craft. Two people and their craft are back. The third return has not been confirmed. The log must still show that open entry.
Do not mark the whole group back because one person sent a message. Confirm each person and the kit your club needs to account for. Note who gave the update and when it was received.
If a return is late or you have a concern, follow the agreed emergency plan. Do not wait for a form or app to tell you what to do. This guide sets no waiting period or rescue procedure.
A kit fault needs its own record too. Link the fault to the asset ID and follow the club process for taking it out of use. A closed trip does not mean all its kit is fit for the next one.

Common questions
Is this a risk assessment or safety checklist?
No. It is a record of people, kit and returns. Use the trip plan, risk assessment and emergency process required for your activity. A completed form does not make a trip safe.
Can we use it outside the UK?
The blank fields are country-neutral. Adapt the wording and records to your club rules. The file does not contain local safety or legal requirements.
Can this replace an aircraft flight log?
No. It is not an aircraft, pilot or maintenance log. GlideHQ is still in build. Gliding clubs must keep using the records required for their flying operations.
Will the download alert someone if a person is late?
No. Word and PDF files are manual records. Choose who will monitor the trip and agree the process before anyone leaves.
