Give the AGM a clear route

A useful AGM agenda tells members when reports, elections, motions and votes will happen. This shared template sets out the common order and includes timings plus a preparation list. Your not-for-profit may be federally or provincially incorporated, so insert the requirements from its own rules. Send the completed pack early enough for informed discussion.

What is in the document

  • The meeting flow from call to order through each decision and final close
  • Report positions for the chair, treasurer, secretary and programme leads
  • Election business arranged to record nominations, ballots and successful candidates cleanly
  • Separate space for member motions and proposed amendments to the governing rules
  • A pre-AGM check of notice, quorum, documents, voting method and proxies where allowed

Making it yours

Use the corporation's rules

Replace every procedural placeholder with the notice, quorum, election and voting terms applying to your federal or provincial not-for-profit.

Shorten unused sections

Delete business that does not exist this year. A compact agenda helps the chair keep members focused on real decisions.

Pair agenda and reports

Distribute accounts and officer summaries in the same pack so questions begin from a common set of facts.

Questions

Which items go on a Canadian AGM agenda?

Common business includes opening, apologies, prior minutes, matters arising, officer and financial reports, elections, notified motions and permitted other business. The exact order and compulsory items come from the not-for-profit's governing rules and incorporation requirements.

How do we set the notice date?

Check the notice period, delivery method and required enclosures in the corporation's rules. Federal and provincial organizations may have different requirements. Allow time to finish accounts, motions and election material before the notice must reach members.

Is there a charge for the template?

No. The shared file is free to download, adapt and use without signup. Add the club's business and follow its governing requirements. The document itself is not a Canadian edition.
