Chair

Keep the committee useful and accountable

The chair makes sure committee decisions end with a responsible person and a date. They help office bearers solve obstacles, deal with disputes and represent the incorporated association. During the October to March programme, immediate problems compete with longer questions about membership, facilities and succession. A strong chair keeps both in view without doing everybody else's work.

The honest hours. Allow two to four hours weekly on average, with irregular peaks for facilities or difficult member matters.

What the job actually is

Chair decisive meetings

Set the agenda with the secretary, control discussion and record an owner and due date for every agreed action.

Keep direction beyond summer

Watch membership, finances, facilities and future committee capacity while current officers concentrate on the active programme.

Help office bearers succeed

Support and unblock each portfolio holder, but leave them authority to complete the responsibility they accepted.

Handle conflict promptly

Address complaints, strained relationships and burnout with fairness before silence allows them to damage the wider association.

Speak outside the club

Represent the association to governing bodies, councils, funders, neighbours or media when one accountable voice is needed.

Prepare future leaders

Share responsibility with newer volunteers and create credible successors before an AGM election leaves a role empty.

The year, honestly

October start

Confirm each portfolio, set the meeting rhythm and choose the limited priorities that matter for the summer.

Main season

Keep decisions moving, check on volunteers and spend enough time around activities to hear concerns directly.

AGM lead-up

Write the annual account, support orderly elections and confirm which committee members intend to continue.

Chair handover

Pass open commitments, important relationships, sensitive issues and an honest picture of committee capacity.

The handover checklist

What the outgoing chair hands to the incoming one. Most get none of this; be the club where they do.

The people map

  • Every committee role, who holds it, and how long they intend to stay
  • Volunteers outside the committee the club quietly depends on
  • Any live disputes or sensitive situations, with history
  • Succession candidates and what they need to step up

Commitments

  • Promises made to members, funders, council or governing body
  • Live projects with their owners and states
  • Grant conditions the club is currently bound by

Relationships

  • Governing body, council and landlord contacts with context
  • Neighbouring clubs and shared-facility arrangements
  • Sponsors and what was agreed with each

Rhythm

  • Meeting cycle and how the agenda gets built
  • The club's annual calendar as the chair sees it
  • Where the constitution constrains what the chair can decide alone

The parts software takes off your plate

Decisions from numbers, not vibes

Membership trend, participation and money in one view turns committee debates into short ones.

How it works

Fewer volunteer hours burned on admin

Every hour the software gives back to officers is an hour the chair does not spend recruiting their replacements.

Questions

What does an Australian club chair do?

They lead committee decisions, hold the longer direction, support office bearers, address conflict and represent the incorporated association. Their aim is a capable committee with clear ownership, not a club dependent on the chair.

How demanding is chairing a club?

The average is around two to four hours a week, but it comes unevenly. A facility issue, complaint or exhausted volunteer can demand concentrated attention during an otherwise quiet part of the season.

Is a chair the same as a president?

The constitution decides. Many clubs use the chair for working committee leadership and retain a president as an honorary figurehead. Others combine the positions or use different titles, so follow the association's adopted wording.
