Most clubs end up running these six jobs in six different places. The membership list lives in a spreadsheet, the roster in a second one, subs in the treasurer's online banking, bookings on a paper sheet in the boathouse, and the whole thing is held together by a group chat. Each part works. The joins are where it falls over.
A member joins once
Their record is created at renewal and every other job reads from it. Nobody retypes a name, an email or an emergency contact into a second list.
Money follows the record
The treasurer sees who has paid and who has not without cross-checking a spreadsheet against a bank statement, because the subs sit on the same member as the membership category.
The roster knows who is qualified
Certificates and sign-offs live on the member, so the roster can refuse a slot the person is not cleared for rather than relying on somebody noticing.
Bookings respect the rules
What a member may take out depends on what their record says they are allowed to do, which is the check a shared calendar cannot make.
Messages reach the right people
Groups are built from live membership data, so a message to the junior squad goes to the junior squad, not to all 300 members.
The committee gets its numbers
Reporting reads the same records everything else writes to, so the figures in the meeting match the figures in the system.
