Who we are

This website is operated by HQ SOFTWARE LTD, trading as SportsHQ, a company registered in England and Wales under company number 17341989. Our registered office is 128 City Road, London, EC1V 2NX.

We are the data controller for the personal data described on this page. You can reach us at support@sportshq.app.

What we collect

Only two things.

What you type into a form

If you send an enquiry or register interest in an app, we collect your name and email address, and the club name and message if you choose to give them. We also record which sport and which country page the form was sent from, so the reply comes from someone who knows your sport.

The name and email are required because we cannot reply without them. Everything else is optional.

Standard server logs

Our hosting provider records the usual technical information when a page is served: IP address, browser type, the page requested and the time. This is used to keep the site running and to spot abuse.

What we do not collect

There is no analytics on this site. No Google Analytics, no advertising pixels, no session recording, no third party chat widget, no social media trackers. We do not build a profile of you and we have nothing to sell to anyone who would want one.

The only cookies this site sets are the ones needed to make it work: a session cookie and a security token that stops forms being submitted from other websites. Neither is used for tracking and neither follows you off this site.

Why we are allowed to hold it

We process enquiry details under legitimate interests. You have asked us a question about club software and we have a clear interest in answering it. That basis only covers replying to you and any follow up directly about your enquiry.

We do not add you to a marketing list off the back of an enquiry. If we ever want to send you something unrelated, we will ask first.

Server logs are processed under legitimate interests, for security and reliability.

Who else sees it

We do not sell, rent or trade personal data. It is shared only with the suppliers we need to run the service:

• Our hosting provider, which stores the website and its database.
• Our email provider, which delivers the notification of your enquiry to us and our reply to you.

Each is bound to process the data only on our instructions. We will also disclose data where the law requires it.

How long we keep it

Enquiries are kept for up to two years from your last contact with us, then deleted. If a conversation turns into a club using one of our apps, the record moves into that app's own account data and is covered by its policy.

Server logs are kept for a short period only, in line with our hosting provider's standard retention.

Your rights

Under UK data protection law you can ask us to:

• Tell you what we hold about you and give you a copy.
• Correct anything that is wrong.
• Delete it.
• Stop or limit what we do with it, including objecting to processing based on legitimate interests.
• Hand it over in a portable format.

Email support@sportshq.app and we will action it. There is no charge and a person handles it, normally within a few days and always within one month.

If you are not happy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk. We would rather you told us first so we can put it right.

Where your data is held

Our systems are hosted in the United Kingdom and the European Economic Area. If any supplier we use processes data outside that area, we make sure an appropriate safeguard accepted under UK law is in place.

Children

This website is aimed at club committee members and is not intended for children. We do not knowingly collect data about anyone under 18 through this site. Junior member records live inside the HQ apps, entered by the club, and are covered by that app's policy and your club's own arrangements.

Changes

If we change this policy we will update the date at the top of the page. Material changes will be flagged on the site rather than made quietly.
