Plan every summer duty together

Put the October to March roster on one sheet before the first busy weekend. The shared template shows roles, dates, qualification limits, per-member totals and recorded swaps. Members can see both their commitment and the overall balance. Adapt the rules to the incorporated society, publish early and update the sheet whenever an eligible replacement agrees.

What is in the document

  • A single southern-summer grid of dates, club duties and volunteer names
  • Credential fields keeping restricted work with members who meet the requirements
  • Duty totals beside each member for a visible fairness check
  • A replacement log showing who exchanged, with whom and when
  • Short agreed rules for publishing the roster, making swaps and handling absence

Making it yours

Make labels self-explanatory

Use role names that describe the work clearly instead of terms only experienced members know.

Build October through March

A complete summer roster lets families plan and reveals future gaps while the society can still recruit.

Decide no-show handling early

Put a fair response into the published rules before any absence tests the committee's patience.

Questions

What makes a New Zealand roster fair?

Show every summer duty, each person's total and the qualifications attached to restricted work. Record swaps in the same place. Members can then see the allocation clearly instead of relying on private committee calculations.

How can volunteers swap dates?

The member finds a suitable replacement, confirms that person meets any requirements and records the agreement on the central roster. The society should not treat an unrecorded chat message as the final assignment.

Does the shared roster cost anything?

No. Download it without signup and adapt the roles and rules for your incorporated society. It is not a special New Zealand edition. Roster software is available later if manual changes become too difficult.
