Show the whole volunteer season

A Canadian club can plan its short summer better when every duty and member assignment appears together. This shared roster adds qualification fields, service totals, exchange records and simple operating rules. Build it before late April. Members gain time to organize replacements, and the not-for-profit can see unfair loads or missing qualified cover while solutions remain possible.

What is in the document

  • A summer grid connecting every date, volunteer position and assigned person
  • Qualification details beside jobs that only eligible members may perform
  • Individual duty counts showing the distribution across the full roster
  • A swap log recording the outgoing volunteer, replacement and agreement date
  • A short policy for roster publication, changes and missed service

Making it yours

Call jobs what they are

Replace internal shorthand with role names that explain the task to somebody joining the club this year.

Plan beyond one weekend

Publish all summer assignments together, giving the committee a complete view of balance and future gaps.

Set consequences beforehand

Agree a fair no-show process before the first missed duty and include it in the roster rules.

Questions

What belongs in a Canadian club roster?

Include every summer date and duty, the person assigned, any required qualification, duty totals and a controlled exchange record. One complete view helps the committee check fairness and gives members enough warning to manage conflicts.

What is a workable exchange rule?

Members find a replacement who meets the same requirements, agree the change and record it on the shared roster. The not-for-profit then has one current name rather than an original sheet contradicted by later messages.

Can we use this template for free?

Yes. The shared download has no fee or signup. Change its duties, qualification fields and rules to suit your club. It is not a Canadian-specific file, and software remains available if the sheet becomes difficult.
