What is rowing club management software?
Rowing club management software is the working record behind crews, shells and training. It connects each booking to the whole boat, keeps seat assignments editable, records damage, shows water conditions and tracks who may steer. Member details and subs sit in the same place. For a Rowing New Zealand club, that removes the gaps between the shed book, bank transfers, WhatsApp and the summer calendar. General membership software can list people, but it does not usually handle the details that decide whether a crew can launch.

The phone shows a real RowHQ home screen. Across the top are temperature, wind, river level and the current flag. A member's next session and attendance appear next, with club tools below. It answers the early-morning questions in one browser view, so nobody needs another download or a message from the coach.

What rowing asks for that generic club software does not do
Any club platform will hold your members and take your subs. These are the parts clubs end up running in a spreadsheet alongside it.
Keep nine names with an eight
The shell reservation should include the rowers and cox, not just whoever opened the calendar. A complete booking gives the squad one answer and shows the shed exactly which boat the crew plans to take.
Move a rower without losing the lineup
A substitute affects a particular seat, side and boat balance. RowHQ treats positions separately, including the cox. Coaches can make the necessary change while everyone else stays in the agreed place.
Link repairs to the right shell
Riggers, blades, shoes and fins all collect wear or damage. Logging the fault against the shell removes it from booking and keeps its history together. Nobody should find the problem only after taking the boat off the rack.
Make the river update the club update
A level change, flag, closure or navigation restriction can alter every outing. Put the decision beside the affected session and notify the squad once. Coaches no longer need to repeat it across several WhatsApp chats.
Know who is cleared before launch
Capsize work, swim competence and permission to steer affect crew choices. Keeping them on each member record helps coaches plan suitable boats. It also gives the committee one dependable place to find the club's safety information.

The main season runs roughly October to March, with national championships in February. Entries, declarations and substitutions need to be visible beside training. Crews should not lose a racing opportunity because a date lived in somebody's inbox.

The season runs through the southern summer, roughly October to March.
This is the opposite way round to Britain and North America. Rowing New Zealand's coastal summer series runs from early October to early March, and the national championships sit in February.
That matters for the software because a season is not a calendar year. Memberships, subs and duty rosters all run on the club's season rather than on January to December, and a system built around the wrong one makes every renewal a manual job.

Questions about rowing club management software
What is rowing club management software in New Zealand?
It is one club system for boat bookings, complete lineups, training, subs, water status and member safety records. A Rowing New Zealand club can replace the shed sign-out register, spreadsheet and WhatsApp threads. Unlike ordinary booking software, it records individual seats and knows a shell is used by a crew rather than a single member.
What will a New Zealand club pay for RowHQ?
There is no charge below 21 active members. The 21 to 30 member band costs NZ$33 each month excluding GST. The highest published band, covering 251 to 300 active members, is NZ$245 monthly. Every feature is included throughout. RowHQ adds no transaction fee, while card money passes through Stripe to the club's own Stripe account.
Can RowHQ help us keep police vetting records organised?
The member record can hold the safeguarding information your officers use. New Zealand Police vetting is requested by an approved organisation, and the club still decides whether a person is suitable. It is part of the safety check for a children's worker. RowHQ gives the committee one place to retain its record of what was decided and when.
Does it fit the October to March season?
Yes. The club sets its own sessions, entries and crew dates, so the calendar follows New Zealand's southern summer. Coaches can plan the busy period around the February national championships while keeping attendance and lineups current. Nothing assumes the season must follow the northern hemisphere.
How does it deal with damaged boats?
A fault is recorded against the specific shell and its equipment history. That shell can then stop appearing as bookable before another squad selects it. The committee sees what happened, while members see accurate availability. This is safer and clearer than a note left in the shed or a message lost in chat.
What if a rowing club cannot stretch to the subscription?
New Zealand clubs are well served here. Tu Manawa Active Aotearoa funds programmes for young people, and gaming trusts such as the New Zealand Community Trust fund kit and operations. A club under 21 active members pays nothing anyway, and annual billing at ten months keeps the paid bands manageable.
