GlideHQ is taking shape for gliding clubs

GlideHQ is in build for New Zealand flying days. It will bring aircraft checks, the launch order, duty cover, training, flight logs and member charges together through the southern summer. The product is not live. Clubs can register interest to join early access and influence which parts of the operation are built first.

What is gliding club management software?

Gliding club management software manages the operation from the first aircraft inspection to the final member charge. It tracks serviceability, a changing flying list, qualified duty roles, currency, launches and training. For a Gliding New Zealand club, it must follow the southern summer and respond to weather throughout each flying day. GlideHQ is being built for queues rather than fixed appointments, with distinct records for winch and aerotow. It remains in development and should not be presented as a launched service.

Open flying days from the field

The pictured phone runs GlideHQ in development with a demo club. It shows the current day open at the airfield, a live club map one tap away and one record for every aircraft movement. The app is not launched. This screen demonstrates the shared view planned for members and officers during a busy day.

  • Members see the current flying day open before travelling or joining activity at the airfield.
  • The live map is reached in one tap from the phone view used during operations.
  • Every aircraft movement enters the same club record for later review and member billing.

What gliding asks for that generic club software does not do

Any club platform will hold your members and take your subs. These are the parts clubs end up running in a spreadsheet alongside it.

Start with a signed daily inspection

The aircraft cannot fly until its inspection is recorded. Serviceability must therefore control availability. A calendar that accepts a booking without checking the glider's status starts the day in the wrong place.

Keep one live launch order

Weather, check flights and equipment problems alter the sequence all day. Members need an ordered list that can move with operations. Fixed appointments would quickly show a plan that no longer exists.

Make duty gaps visible in advance

Instructors, winch drivers, tug pilots and duty pilots are all needed for the relevant operation. Missing one can prevent flying. The roster should warn the committee while there is still time to find cover.

Bring check flights into the plan

Currency, annual checks and conversion to type affect whether a member may fly solo. The required check flight should be known before reaching the launch point, where changes disrupt the whole queue.

Record charges as flying happens

Aerotow, winch launches and soaring time can each carry a different rate. Recording the member and aircraft on every flight gives the treasurer a clean account trail from the actual operation.

Support both launch methods properly

Winch and aerotow differ in their crews, briefings and costs. A club running both should keep those rules intact. One generic launch entry would lose information the flying day and accounts need.

What GlideHQ will handle

Daily flying list

Set the day's launch order without running it from a whiteboard.

Aircraft overview

Track club gliders, towplanes and maintenance condition together.

Fair duty roster

Roster instructors, winch drivers and duty pilots across the programme fairly.

Flight logging

Match recorded launches and hours to the correct members and aircraft.

Member home

One login gives members bookings, accounts and current club news.

Instructor records

Keep progression and sign-offs visible to instructors when needed.

Moving over without losing a season

The usual reason a committee stays on something that half works is the thought of moving. It is a smaller job than it looks, and you do not have to do it in one go.

What clubs come from

  • The launch field whiteboard
  • Paper flight lists and logs
  • The monthly accounts spreadsheet
  • Roster gaps filled by phone

Most clubs arrive with three or four of these running at once. That is normal.

  1. Send us what you already have

A membership spreadsheet, a CSV export, or the list your treasurer keeps. It does not need tidying up first. Messy is what we expect.

  2. We load it and check it with you

We import members, kit and your season, then sit with one person from the committee to check it looks like your club rather than a demo.

  3. Run both for as long as you want

Nothing forces you to switch everything on day one. Plenty of clubs run the old roster alongside for a few weeks until people trust the new one.

  4. Leave whenever you like

Your data exports in full, at any point, at no charge. A system you cannot walk away from is not one you should sign up to.

Founding clubs help decide what GlideHQ imports on day one. Tell us what you run now and it shapes the build.

Who is behind GlideHQ

There is no published gliding case study yet, and we are not going to invent one. What we can point at is the engine underneath. RowHQ runs Oundle Town Rowing Club day to day, with real members, real money and real race entries going through it.

GlideHQ is a different sport on the same foundation, built by the same people. It is in build, and founding clubs get a direct line to the people writing it.

Questions about gliding club management software

What is gliding club management software in New Zealand?

It is one place for aircraft inspections, serviceability, the flying queue, duty cover, launches, training and member accounts. A Gliding New Zealand club can replace its whiteboard, paper flight sheets and billing workbook. GlideHQ is being built for the changing order and qualification checks that define gliding. It is not yet live.

What will GlideHQ cost in New Zealand?

GlideHQ remains in development. Published pricing is free for fewer than 21 active members. The 21 to 30 band costs NZ$33 monthly excluding GST. The 251 to 300 band is NZ$245. All bands contain every feature. The platform takes no transaction fee, and Stripe directs card payments into the club's own account.

Can we keep police vetting information there?

The planned member record can hold relevant safeguarding details. Police vetting is requested by an approved organisation and feeds into the safety check for a children's worker. Police supplies the information, while the club decides whether someone is suitable and records that decision. GlideHQ will organise the record without taking over that responsibility.

Will GlideHQ suit the southern summer?

Yes. Flying days and duty rosters are set by the club, so the operation can centre on the roughly October to March season. The live flying list then responds to conditions on each day. Nothing in the build requires a northern calendar or fixed appointment slots.

When will GlideHQ launch?

There is no public launch date. GlideHQ is still being built, and the screen shown uses a demo club. Registering interest costs nothing and creates no commitment. It places the club in line for early access and gives members a chance to influence which requirements are addressed first.

What if a gliding club cannot stretch to the subscription?

New Zealand clubs are well served here. Tu Manawa Active Aotearoa funds programmes for young people, and gaming trusts such as the New Zealand Community Trust fund kit and operations. A club under 21 active members pays nothing anyway, and annual billing at ten months keeps the paid bands manageable.
