What is rowing club management software?
Rowing club management software is the system used to organise shells, crews, outings and membership as one connected job. It shows who occupies each seat, whether a boat is fit to use, which members may steer, who is attending and who has paid. A normal club platform may cover the last two points, but it rarely understands a whole crew booking. For a Rowing Ireland club, the software also keeps the late March to September on-water programme, race deadlines and safety records out of separate books and inboxes.
The first club check of the day

What rowing asks for that generic club software does not do
Any club platform will hold your members and take your subs. These are the parts clubs end up running in a spreadsheet alongside it.
A shell booking needs every name
An eight is not reserved properly when the calendar shows one rower. The booking must carry the complete crew and cox. Then coaches, members and the boathouse all work from the same list.
Crew changes happen seat by seat
Stroke side, bow side, sculling, sweep and coxing are different roles. A late replacement belongs in a particular position. Editing that seat preserves the rest of the lineup and avoids another round of messages.
The damage note must block the boat
A cracked fin or problem with shoes, riggers or blades needs more than a line in a notebook. Record it against the shell and remove that shell from use until it is ready again.
One river decision reaches every squad
Levels, flag status, navigation rules and closures can call off an outing. The committee should publish one update against the session. Members see the same answer before starting their journey to the club.
Keep permission where coaches choose crews
Swim competence, capsize work and steering approval decide which boat a member may join. These records need to sit with the person, where the coach can use them and the committee can produce them when needed.

On-water events begin in late March and continue to about September, with championships in July. Training plans, entries, declarations and substitutions belong together. A deadline missed in an inbox can undo months of crew preparation.

Rowing Ireland's calendar opens with coastal racing in late March and the river regattas in early April, with the Irish Championships in July. Between late September and March the listed events are indoor.
That matters for the software because a season is not a calendar year. Memberships, subs and duty rotas all run on the club's season rather than on January to December, and a system built around the wrong one makes every renewal a manual job.

What is rowing club management software in Ireland?
It is one system for shell bookings, complete lineups, training, member subs, equipment condition and safety records. A Rowing Ireland club can replace its paper sign-out book, spreadsheets and WhatsApp changes. The system is built around rowing, so every seat and the cox stay attached to the shell instead of appearing as unrelated member bookings.
How much does RowHQ cost in Ireland?
RowHQ is free for clubs with fewer than 21 active members. The 21 to 30 member band costs €18 a month excluding VAT. The highest published band costs €140 monthly for 251 to 300 active members. All features are included at every level. No transaction fee is added, and Stripe pays card money into the club's Stripe account.
Can we keep Garda vetting information with member records?
Yes, relevant safeguarding information can sit on the member record. Garda vetting is mandatory for work with children or vulnerable people and is processed for registered organisations, not individuals. A club reaches the process through its national governing body. Northern Ireland uses AccessNI instead. The club remains responsible for following the correct system and making its decisions.
Can it handle a last-minute crew substitution?
Yes. The coach edits the affected seat while keeping the other rowers and the cox in place. The new lineup is visible immediately to the people involved. Nobody has to decide which WhatsApp message is final, and the shell remains booked against the correct complete crew.
Will it work for junior rowing?
Yes. Junior squads need consent, emergency contacts and clear records about who may take a boat out unsupervised. Those details stay with the member rather than in a separate folder. Coaches can use the current information while forming crews, and committee members can retrieve it without searching paper files.
Is there funding an Irish rowing club could use for this?
Yes. Irish clubs lean on the Sports Capital and Equipment Programme for bigger purchases and on their Local Sports Partnership for smaller supports, and committees routinely fund running costs that way. The free band under 21 active members costs nothing, and annual billing is charged at ten months rather than twelve.
