What is rowing club management software?

What rowing asks for that generic club software does not do
Any club platform will hold your members and take your subs. These are the parts clubs end up running in a spreadsheet alongside it.
Make each reservation a crew decision
A shell goes out with every seat filled, not under one member's name. Recording the complete crew prevents double booking and tells coaches who will actually be on the water before anyone opens the boathouse.
Keep seat changes precise
Stroke side, bow side, sweep and sculling experience affect the boat. A lineup editor needs separate positions for each rower and the cox. One substitution can then be made without losing the agreed crew.
Give each shell a usable history
Damage to fins, riggers, shoes or blades needs recording against the right equipment. A reported fault should take the shell out of circulation. That keeps the repair trail clear and avoids another crew choosing it.
Share one water status with everyone
Levels, flag decisions, closures and navigation rules may change the day. The squad needs one current notice before travelling. Linking it to the session avoids conflicting versions appearing in the email chain and group chat.
Put permissions on the member record
Swim checks, capsize competence and steering approval affect who can join an outing. Coaches should see that information while building the crew. The committee should also be able to retrieve the record without searching several folders.

The Canadian regatta season opens around late April and continues through summer. Entry deadlines, declarations and crew substitutions need to sit beside the training schedule. A well-trained crew still misses its race when an administrative date slips.

The 2026 Ontario season opened with the Early Bird Regatta on 26 April, and the Royal Canadian Henley runs at the start of August.
That matters for the software because a season is not a calendar year. Memberships, subs and duty rosters all run on the club's season rather than on January to December, and a system built around the wrong one makes every renewal a manual job.

What is rowing club management software in Canada?
It is a system for managing boats, full crew lineups, training, member dues, safety records and equipment condition together. For a Rowing Canada Aviron club, it replaces the booking calendar, boathouse paper log and scattered group messages. Its rowing-specific value is simple: the software understands seats, crews and shell serviceability rather than treating boats like meeting rooms.
How much is RowHQ in Canada?
Use is free while the club has fewer than 21 active members. For 21 to 30 members, RowHQ costs C$27 monthly excluding GST or HST. The published 251 to 300 member band costs C$220 a month. All bands receive every feature. RowHQ takes no transaction fee, and Stripe processes card payments into the club's own Stripe account.
Can we track vulnerable sector checks?
Yes, the club can keep relevant safety information on the member record. A vulnerable sector check is requested through local police, and the organisation must request it rather than the volunteer. British Columbia uses its Criminal Records Review Program instead. Rowing Canada Aviron requires coach screening that includes a criminal record check. The club remains responsible for applying those rules.
Can a lineup be changed without starting over?
Yes. Each seat is editable, so a coach can replace one person while keeping the rest of the boat intact. The updated version is visible to everyone affected. That means the latest crew is not buried under older messages, and the correct group remains attached to the shell reservation.
Why not keep our general membership system?
A general system may collect dues and store member details. It usually leaves boats, seat assignments, water conditions, damage logs and steering clearance elsewhere. RowHQ brings those rowing jobs into the member system. Your committee can stop reconciling several records whenever a crew changes or a shell becomes unavailable.
Could a grant pay for rowing club software in Canada?
It can. Canadian clubs put schemes like Canadian Tire Jumpstart and the Community Sport for All Initiative toward participation and running costs, and software sits comfortably in that kind of application. Under 21 active members the platform is free regardless, and the annual price is charged at ten months.
