Send notices where they matter
When every club message goes to everybody, members stop noticing the urgent one. Use the membership list to reach a squad, age group, rota crew or kit owners directly. A called-off session reaches those travelling. Formal notices stay visible in the member area, while WhatsApp remains available for ordinary conversation.

Groups follow the member list
Squads, age sections, rota teams and owners come from current records. Volunteers do not maintain another set of contacts.
Calloffs reach those affected
Weather or water can change a session quickly. The members booked for it receive the decision before making the journey.
Old names drop away properly
Current membership controls recipients, so leavers stop receiving updates. The club avoids copies exported at different times by different officers.
Notices remain after chat moves
Important club information is kept inside the member area. It can be found later without scrolling through unrelated discussion.
Each member sets preferences
Communication choices live on the person's record. Optional messages follow those preferences rather than a separate consent list.
WhatsApp can stay informal
The chat still works for conversation and banter. It no longer holds the only copy of a rota or decision.

Questions
Why not keep all club news on WhatsApp?
WhatsApp is useful for discussion but poor as the club's only record. Confirmed decisions scroll away, group membership drifts and officers repeat information. Keep chat informal and store rosters, calloffs and notices in the member system.
Can one squad receive a private update?
Yes. The sender can choose recipients from the live membership list, a session, an age group or a rota assignment. Only the relevant members receive it, without volunteers copying addresses into another tool.
Can members manage what they receive?
Yes. Their communication preferences are stored with the membership record. Committee messages use those choices for optional news, while necessary operational contact follows the club's stated rules and current list.
