Secretary

Make the club's decisions stick

The secretary is responsible for the meeting cycle, official inbox and records that explain what the committee agreed. They watch affiliation, insurance and other fixed dates, then organise the AGM under the constitution. During the late March to September programme, regular filing keeps small tasks small. It also gives the incoming secretary a usable club memory.

The honest hours. Allow one to two hours weekly, with busier weeks around committee meetings, annual renewals and the AGM.

What the job actually is

Run committee administration

Prepare agendas with the chair, call meetings, write decisions clearly and circulate minutes while assigned actions are still fresh.

Manage formal correspondence

Receive messages from governing bodies, insurers, councils, facilities, neighbouring clubs and the public, answering or forwarding each one.

Keep important papers together

Store the constitution, policies, minutes, insurance documents and affiliations under club access rather than in one private inbox.

Watch recurring deadlines

Track affiliations, insurance and any returns linked to the club's structure, making sure the correct volunteer completes each one.

Organise the AGM

Apply constitutional notice, report, election and voting rules, then preserve an accurate record of what members decided.

Maintain continuity

Capture commitments and previous reasoning so a new committee understands live work without reopening every settled question.

The year, honestly

Season opening

Complete renewals, establish committee dates and issue member information before the on-water calendar becomes busy.

Late March onwards

Keep up with inbox, agendas, minutes and records throughout the active programme rather than postponing filing.

AGM season

Work from the notice deadline, gather reports, circulate the papers and document elections, motions and other decisions.

Handover

Transfer email and storage access, the annual calendar, governing body contacts and every open administrative item.

The handover checklist

What the outgoing secretary hands to the incoming one. Most get none of this; be the club where they do.

The parts software takes off your plate

Member questions answer themselves

Half the secretary inbox is members asking things a decent member portal already shows them.

How it works

Announcements reach everyone once

One message to the right group beats three emails, a group chat and a noticeboard.

How it works

Records outlive the officer

When membership and club records live in the club's system, handover is access transfer, not archaeology.

Questions

What does an Irish club secretary handle?

The secretary manages agendas and minutes, formal correspondence, important records, affiliation or insurance dates and the AGM process. Their work connects decisions with actions and gives future committee members a dependable account of club business.

How much weekly work is involved?

One to two hours is a normal baseline. Committee meetings, annual renewals and AGM preparation increase it for short periods. A shared calendar and prompt filing prevent routine tasks becoming a large catch-up exercise.

What makes a strong club secretary?

They are dependable with dates, clear in minutes and disciplined about shared records. Other officers can find documents and understand actions without asking where everything lives. That practical consistency matters more than formal writing style.
