Membership management
The member list your club keeps
One member list should answer the committee's everyday questions. It should show who belongs, who has paid subs, how to reach them, and which qualifications or roles they hold. A shared record replaces the copies kept by separate officers. It also protects club knowledge when the volunteer who understood the old spreadsheet hands over.
What it has to do
Everything follows the member
Joining, renewal, emergency contacts, roles and sport credentials stay on one record. The treasurer and safety officers see the same position.
Details stay current between renewals
Members change their own phone number or emergency contact. The membership officer no longer becomes a bottleneck for basic corrections.
The subs cycle is visible
Renewal dates, reminders and lapsed status sit together. Volunteers work from a clear chase list instead of notes across email and paper.
Club categories work as written
Junior, family, student, social, senior and life membership can carry different terms. The system follows the club rather than forcing one price.
Garda vetting stays organised
Relevant vetting information and qualifications can sit with the person. The club still follows its governing body route for Garda vetting.
A handover keeps the history
Records remain available to authorised committee members when an officer finishes. The next person inherits the member list and its working context.
The same job in four sports
This is the bit a general platform cannot do. Same feature, shaped by what the sport actually needs.
Questions
What should an Irish club member record hold?
Store contact and emergency details, membership category, subs status, club responsibilities and any qualifications that affect participation. Relevant Garda vetting information can also be kept there. The registered organisation must use the proper route through its national governing body.
Why move beyond a membership spreadsheet?
A spreadsheet becomes one officer's copy and usually drifts from the payment or coaching lists. A shared record lets members correct basic details while authorised volunteers manage status, subs and credentials. Everyone then works from the same current answer.
Can the club keep records after handover?
Yes. The information belongs in the club system rather than on a volunteer's personal device. An incoming officer receives the live list, renewal position and relevant history, which makes the changeover less dependent on memory or old email attachments.
On most committees this job belongs to the membership secretary. If that is you, or about to be, our guide to the whole role covers the parts software cannot do for you.
