Communications

Reach the roster that needs it

Members stop reading club updates when every message goes to everybody. Use the roster to contact the specific team, age group, duty crew, or gear owners affected. A cancellation reaches people before they drive over. Important notices remain in the member area, while ordinary conversation can stay in the group chat.

What it has to do

Groups come from live records

Build recipients from team, age, role or ownership fields already on the roster. Nobody maintains another distribution list by hand.

Calloffs reach the right people

Weather or conditions can cancel an activity quickly. The signed-up members receive the decision before setting out for the club.

Former members leave the audience

One current roster replaces exported files and stale mailing lists. People who have left stop receiving operational club messages.

Notices remain easy to find

Club news is published in the member area. It does not disappear above a weekend of unrelated chat.

Preferences stay on each member

People control the messages they receive through their record. Officers use those choices when sending club communications.

Group texts keep their proper job

Conversation can remain in familiar chats. The official lineup, cancellation, or duty instruction lives in the club system.

What it looks like in the live apps

These screens are from RowHQ and SailHQ, the two HQ apps already running real clubs. KanuHQ and GlideHQ are being built on the same patterns.

Questions

Why not run everything through group texts?

Group texts are useful for quick conversation but poor as the only club record. Important updates scroll away, audience lists become stale, and officers cannot easily prove who received a decision. Keep chat for discussion and club facts in the member system.

Can officers message one team?

Yes. The recipient group can come directly from current membership fields, session sign-ups or duty assignments. A message therefore reaches the people affected without copying the whole roster or maintaining a separate team list.

Can members choose which updates arrive?

Yes. Communication preferences are stored on each member record and used when messages are sent. Essential operational contact can follow the club's stated rules, while members retain control over optional categories of news.

On most committees this job belongs to the club secretary. If that is you, or about to be, our guide to the whole role covers the parts software cannot do for you.
