Membership secretary
Keep the member list dependable
The membership secretary maintains the list behind subs, sessions and committee decisions. It records who has joined, which category applies, how to contact them and what relevant consents or qualifications are held. During the late March to September programme, other volunteers need quick answers. A good system keeps ordinary work small and preserves context at handover.
The honest hours. Allow less than an hour in most weeks, with a renewal peak that depends on the accuracy of last year's records.
What the job actually is
Handle each application
Confirm category, permissions and subs, then give the joiner clear information about starting with the club.
Manage annual renewal
Send notices, track money and responses, chase uncertain cases and mark confirmed leavers rather than leaving them active.
Keep the list accurate
Maintain contact, emergency, category, consent and relevant qualification information that other committee members use.
Supply current member groups
Give the treasurer, coaches and safety officers the filtered list they need without creating separate permanent copies.
Protect personal details
Collect data the club actually uses, restrict access and apply the agreed process when information should be removed.
Report membership movement
Show joins, renewals, departures and category changes so the committee understands the direction before making plans.
The year, honestly
Subs renewal
Apply committee rates, issue the requests, match incoming payments and confirm the active membership list.
On-water months
Process joiners, update records and provide accurate groups to volunteers running sessions and club work.
Before the AGM
Prepare membership totals, category breakdowns and the main changes using the current record.
Role handover
Transfer access, the renewal routine and explanations for any special arrangement or live dispute.
The handover checklist
What the outgoing membership secretary hands to the incoming one. Most get none of this; be the club where they do.

- How someone joins, step by step, as it actually happens
- The renewal cycle with dates and templates used
- How lapses are decided and recorded
The exceptions
- Members on special arrangements, with the reason and who agreed it
- Honorary and life members and what their status means
- Any live membership disputes
The connections
- What the treasurer receives and when
- What coaches and safety officers pull from the record
- Governing body registration requirements per member
The parts software takes off your plate
The record maintains itself
Members update their own details, consents are captured at joining, and the list stays true without an evening a week.
How it worksRenewals run as a cycle, not a crisis
Notices, payments and lapses tracked per member, with the chase list building itself.
How it worksEvery list is one filter away
Session lists, unpaid lists, qualification lists: filters on the record, not fresh spreadsheets.
How it worksQuestions
What does an Irish membership secretary do?
They process applications, run renewals, maintain contacts and consents, provide current lists and report membership changes. They work closely with the treasurer because active status and subs must agree throughout the club year.
How does the role differ from secretary?
The secretary runs meetings, correspondence and governance records. The membership secretary owns the member list, joining and renewal. A small club may combine the roles, although the period around subs collection will be considerably busier.
What weekly commitment should we expect?
Most weeks need less than an hour when records are current. Renewal takes more. Member self-service and one dependable list make the difference between a short run of follow-up and a month of corrections.
