What is canoe club management software?
Canoe and kayak club management software keeps a paddling club's equipment, activities, qualifications and members together. It books complete sets of gear, separates different disciplines, links water conditions to sessions and gives away trips their own plans. For a Canoe Kayak Canada club, that means replacing store sign-outs, group messages, e-transfer chasing and coaching spreadsheets with one connected record. KanuHQ is designed for those specific jobs, including club and private boats on the same racks. It is currently in build, not launched.
Safety records beside the launch point
This KanuHQ build screen runs on a demo club. On the phone are activity safety packs, risk assessments, emergency plans and the latest water advisory. The product is not live, but the screen shows the intended job clearly: give club leaders the current safety material on site, not only on an office computer.

What canoe and kayak asks for that generic club software does not do
Any club platform will hold your members and take your subs. These are the parts clubs end up running in a spreadsheet alongside it.
Give each discipline its own programme
Polo, touring, sprint, slalom and whitewater bring different equipment, coaching and calendars. Combining them under one membership should not flatten those differences. Members need to find their activity without sorting through everybody else's sessions.
Book everything needed to paddle
The reservation should include the boat, paddle and buoyancy aid as one practical set. If any item is unavailable, the member needs to know before arrival. Item-by-item booking leaves incomplete equipment on the rack.
Manage private and club storage together
Member-owned boats can occupy the same rack area as the shared fleet. The committee allocates those spaces and may charge for them. A useful register shows ownership, location and the overall demand for storage.
Use conditions to decide who can attend
River level and grade alter the competence needed for a session. A safe plan at one level may not proceed at another. The current condition needs to sit beside sign-up and the coach's decision.
Check the coaching record before confirming
The activity and water determine which award and safety cover are needed. KanuHQ is being designed to make those requirements visible during planning. A folder of certificates does not help when the wrong coach is assigned.
Treat a river trip as a full plan
Transport, shuttle drivers, equipment lists and the plan left behind all matter away from the club. Those details deserve a dedicated trip record. A recurring session entry cannot carry the same practical load.

Who is behind KanuHQ
There is no published canoe and kayak case study yet, and we are not going to invent one. What we can point at is the engine underneath. RowHQ runs Oundle Town Rowing Club day to day, with real members, real money and real race entries going through it.
KanuHQ is a different sport on the same foundation, built by the same people. It is in build, and founding clubs get a direct line to the people writing it.
Questions about canoe club management software
What is canoe and kayak club management software in Canada?
It is a club system for equipment sets, session registration, trips, disciplines, coaching records, dues and member details. A Canoe Kayak Canada club can replace its paper store log, group posts and separate worksheets. KanuHQ is being built around paddling decisions such as water grade, suitable coaches and private boat storage. It is not live yet.
How much will Canadian clubs pay for KanuHQ?
KanuHQ is still under development. Published pricing is free below 21 active members. The 21 to 30 member band costs C$27 per month excluding GST or HST. The 251 to 300 band is C$220 monthly. All features are included, with no platform transaction fee. Stripe sends card payments to the club's own Stripe account.
Can it store vulnerable sector check information?
The planned member record can hold relevant screening details. A vulnerable sector check comes through local police after the organisation requests it, not the volunteer. British Columbia uses its Criminal Records Review Program. Federal law does not set a renewal period, so the club chooses one. KanuHQ will store records while the committee sets and follows its policy.
Will private boats and club boats share one register?
Yes. Supporting both ownership types in the same store is one of the requirements shaping KanuHQ. The club can allocate rack space and connect a private craft to its member, while shared equipment remains clearly marked. The aim is one accurate storage picture without treating every boat as club property.
When can our club start using KanuHQ?
KanuHQ has no public launch date because it is still in build. Clubs can register interest now for early access and to influence the first priorities. Registering costs nothing and does not commit the club. The page shows build screens from a demo club, not evidence of a launched service.
Could a grant pay for paddling club software in Canada?
It can. Canadian clubs put schemes like Canadian Tire Jumpstart and the Community Sport for All Initiative toward participation and running costs, and software sits comfortably in that kind of application. Under 21 active members the platform is free regardless, and the annual price is charged at ten months.
