Keep the safeguarding route clear
A club welfare officer gives members and families a named contact for concerns. They maintain policies, training and screening records, then use the correct reporting line when an issue appears. In Canada, vulnerable sector checks are requested through local police by the organisation, with British Columbia using a different programme. The officer routes concerns and does not investigate them.
The honest hours. Quiet months may require one or two hours in total, but an active concern changes the workload immediately.

Keep welfare policies current
Review safeguarding, anti-bullying, photography and changing guidance using the latest material adopted by the club.

Track relevant vulnerable sector checks and training, remembering that renewal timing is a club decision rather than a federal rule.
Route concerns factually
Receive the information, record what was said and follow the proper reporting process without conducting personal enquiries.
Support committee planning
Raise welfare questions during recruitment, youth travel, sessions and communication planning while safer changes remain easy to make.
Prepare escalation contacts
Keep governing body and relevant authority details current so officers do not search for the route during a serious matter.

The checks, in Canada
Here the check is a vulnerable sector check, run by your local police service.
The check exists nationally but is requested locally, and one detail catches clubs out: the organisation has to make the request, not the volunteer. A member cannot walk into a police station and get one for themselves. There is also no federal law requiring the check at all, so how often it is renewed is a decision the club makes rather than one the law sets.
British Columbia is handled differently again, through its own Criminal Records Review Program rather than the local police service. Rowing Canada Aviron requires coaches to complete its screening requirements, which include a criminal record check.
